Office Manager
Timothy Hatton Architects is looking for a personable office manager to run our studio The Foundry, in Shepherd’s Bush, London W12.

We are looking for an experienced Office Manager to manage the day-to-day facilities and administrative functions required to support the work of the Practice and ensure a positive projection of the studio to all visitors.
Working as part of the very friendly 26-strong team in this creative environment, you will be responsible for the smooth running of the office at all times including but not restricted to the management of appropriate insurances, supplies, cleaning and maintenance, utilities, out-of-hours security and other service providers. You will be required to work with external consultants for IT and HR support.
Key responsibilities include:
- Providing premises facilities management, ensuring compliance with statutory health, safety and welfare legislation and reporting, including being a named First Aider and Fire Warden.
- Ensuring the smooth running of IT, facilities and HR support including the renewal of licenses, liaising with existing 3rd-party suppliers where relevant, carrying out regular research and making recommendations to confirm that all such consultants are providing the best value and service to THA.
- Assisting the Directors in providing business support to include timesheets, central calendar (paper and digital), and any necessary travel arrangements.
- Manage 3 residential properties within the Practice’s estate, including liaison between letting agent and tenants, overseeing compliance with all necessary paperwork, inventories, repairs and maintenance.
- Manage general office maintenance to include the daily cleaning service, annual testing or servicing and any necessary repairs.
- General admin management of day to day tasks to include printer paper/ink ordering, grocery orders, Nespresso orders, stationery stock up, setting rooms for meetings, team socials, etc.
- HR tasks to include managing the HR Toolkit database, annual leave requests, staff sickness and medical appointments register, on-boarding/off-boarding.
- Responsibility for the provision and implementation of HR processes and professional training requirements in conjunction with the appointed external consultant.
- Maintaining appropriate insurances with the input and assistance of the Practice Accountant as appropriate.
- Working with the Directors and Practice Accountant to provide cost estimates for the annual budget and ensure spend is in line with expectations.
- Maintaining asset registers and effective systems and procedures for electronic and physical filing, archiving and storage.

- Have more than 2 years’ relevant experience, ideally in a creative environment.
- Have logical thinking, are adaptable and ready to take on new challenges.
- Can use Microsoft Word, Excel and Outlook.
- Have excellent written and spoken communication skills.
- Can handle more than one task and work to deadlines.
- Understand how to maintain professional confidentiality.
- Are reliable, punctual, courteous and confident in dealing with a wide range of people.
The package for this role includes a competitive salary, negotiable based on experience, 20 days’ annual leave plus 3 days at Christmas and a range of benefits including pension contributions and healthcare plans.
